You have to review a quote with a supplier. You suggest talking on WhatsApp, but the other person does not have an account. Then the exchange begins: which application do we use, do we need to install anything, how do we connect?
A conversation that should take a few minutes ends up needing more coordination than expected.
WhatsApp has just removed one of those barriers. Its new guest call feature allows adding people who do not have an account on the application.
The operation is simple. The organizer generates a link and sends it. The guest opens it from their desktop browser, enters their name, and requests to join. They do not need to register on WhatsApp.
The organizer does need an account and must authorize each entry.
Calls have no cost and no set time limit. They also feature protection through end-to-end encryption, a technology that prevents third parties from accessing the content of the conversation.
Up to 32 participants can meet, both in one-on-one and group conversations.
Why it matters
For a small business, coordinating a meeting can turn out to be more complicated than necessary.
Think of a real estate agency that needs to present a proposal to a property owner. Or a repair shop that wants to review order details with its supplier.
The problem is not always finding time to talk. Sometimes it is getting everyone connected without difficulties.
With this update, you can use WhatsApp to organize the call even if the other person does not use that application.
And it is not just about talking.
Guests can also display what appears on their computer screen. This opens up practical possibilities: reviewing a presentation, discussing a quote, or examining a document while both parties speak.
In addition, they can use reactions and raise their hand to speak in group conversations.
There is another important aspect: access control.
When someone opens the link, they do not enter immediately. First, they stay in a waiting area until the host approves their participation. If necessary, the host can also remove them during the call.
Guest participation has limits. They cannot access other attendees' phone numbers, use the chat, or directly invite new people.
WhatsApp is also preparing an integration with Google and Outlook calendars for later this year. It will allow adding links for these calls to calendar invitations through an add-on.
What it means for your business
The opportunity is not about filling your schedule with meetings. It is about simplifying the conversations you already need to have.
If you manage a clinic, you could coordinate a document review with an external collaborator. If you run a store, you could talk to a distributor and review their catalog on screen.
The advantage is reducing the need to agree on a second tool before getting started.
Of course, a call does not replace all communication channels. If you need to exchange files or leave written instructions, you will have to use another medium.
This week, pick a pending meeting with someone outside your company. From the calls tab in WhatsApp, use the option to create a link, accessible via the «+» button. Send it to that person and explain how to enter from their browser.
Afterward, observe whether coordination was simpler.
Because improving business operations does not always mean adding more tools. Sometimes it means removing obstacles so people can work together.
